Trusted Pet Carers General Terms and Conditions
Using Trusted Pet Carers services constitutes acceptance of these terms and conditions. These terms and conditions may change at any point and we will always ensure the latest version is available on our website. Please do not hesitate to contact us for an up-to-date copy of them also.
Definitions
· All references to Trusted Pet Carers Ltd (TPC) means TPC Ltd.
· All references to carers/sitters refer to members of TPC
· All references to clients or pet owners refer to service users
1. General Information
1.1. TPC represent its members who provide a range of pet care services. All members act as part of a team enabling them to provide cover for each other to ensure an uninterrupted service for clients as much as possible.
1.2. All members of TPC undergo a rigorous checking, training and assessment process to ensure the members suitability to carry out the services for which they have been engaged. All members are fully insured either via their own insurance or through TPC, DBS checked, trained, assessed and monitored.
1.3. All members adhere to a clear code of conduct and enjoy the support of other members and the TPC office to provide ongoing training, support and guidance on best practice.
2. Cover and fulfilment
Service users will have a primary sitter or walker but if this person is unavailable, then other similarly qualified sitters or walkers will provide backup cover to ensure your pet care is covered and you’re not let down at the last minute.
3. Permissions
3.1. Service users will be deemed to have accepted TPC terms and conditions (as laid out here) on booking of services.
3.2. The pet owner agrees NOT to book a Trusted Pet Carer without coming through Trusted Pet Carers' central reservations office and understands that if they do this, then the Trusted Pet Carer's insurance and carer’s guidelines are null and void and that the owner will be fully liable for any incidents, accidents and vet bills that a dog may incur while with the carer.
3.3. You agree that all repeat bookings or otherwise are channelled and booked through TPC central reservations. As a client of TPC booking service you accept that your dog’s independent carer whom you were introduced to by TPC must not be approached by yourself to accept a direct booking from you without also going through TPC. You also agree that you will not accept any offer of a stay from any of our carers without having booked through TPC. Termination and exclusion from using our booking service without re-fund may result and an introductory fee of £750 be invoiced to the carer – payable to TPC.
3.4. The TPC website and services are intended solely for persons who are 18 or older. Any access to or use of our site or services by anyone under 18 is expressly prohibited. By accessing or using the Site you represent and warrant that you are 18 or older.
3.5. The service user gives TPC permission to enter their property to carry out the booked service at the arranged date and time.
3.6. The service user gives TPC and their carers permission to take photographs of their pets for use on our web site domains for Trustedpetcarers.com and Leadmedowntheaisle.com domains and for use in the commercial marketing of our services.
3.7. The service user gives permission to TPC to be able to commercially market and sell any of the photographs taken by TPC and their carers or their pets and further agree that any revenue generated by such image sales belongs wholly to TPC.
3.8. The service user agrees that all image rights of the photographs of their pets (that TPC carers take), are the sole property of TPC in their entirety.
3.9. The service user must provide TPC with a name and contact telephone number of someone capable of making a decision relating to their pet(s) in an emergency. The Emergency Contact must be aware of their role, duties and responsibilities and be available for the duration of the booking.
3.10. A nominated vet’s details will be documented & recorded, and they will be contacted if we are unable to communicate with the service user or their emergency contact. Please note that in an emergency we may use any nearest vet.
4. Dog safety, security and health
4.1. Trusted Pet Carers are unable to accept dogs that have shown aggression towards other dogs and /or people or are subject to the terms of the Dangerous Dogs Act 1091. No dogs registered under this act will be accepted for home dog boarding.
4.2. All dogs must wear a collar and identification tag. They must be microchipped and the microchip number must be provided for the carer to keep on record.
4.3. All dogs must have up to date vaccinations and flea protection, have been wormed and bathed. Proof of vaccination must be shown to the career prior to the stay or any exercise.
4.4. Dogs must be in a secure location prior to collection by the dog walker / carer. Loose in a garden does not constitute this.
4.5. All dogs must be provided with a well-fitting collar / harness. No member is held liable for any injury or any damage caused or incurred by the service user’s dog escaping due to an ill-fitting or faulty collar / harness.
4.6. TPC and its members will not confirm any booking until there has been a consultation with the owner who must disclose any behavioural or medical condition that may make their dog unsuitable for group walks / boarding / sitting. This would include, but is not limited to, antisocial behaviour, aggression, possessive behaviour, lack of training and conditions such as incontinence, chronic vomiting or travel/ mobility problems.
4.7. TPC and its members must be informed if your dog does or has EVER used a muzzle and this should be made available for use at our discretion
4.8. TPC reserve the right to refuse or discontinue walks /boarding for any dog deemed to be unsuitable.
4.9. Carers will make every effort to provide high standard of care but Trusted Pet Carers or their carers cannot be held liable for loss, injury or death of an animal unless negligence is shown. The owner agrees to let Trusted Pet Carers know of any changes to their dog/s details
4.10. If your dog/s escapes from the premises (assuming no negligence is found on the part of the career) any liability for the dog/s actions remains the responsibility of the owner.
4.11. When a carer has been selected with a resident dog the owner gives permission to board or daycare their dogs together with the carers’ dog/s. The owners and carers dogs must have had an introductory meeting.
4.12. Trusted Pet Carers will accept entire males at their discretion and providing they do not show aggression towards other dogs or people. Entire males must not be boarded with a resident dog.
4.13. The owner is responsible for supplying enough food for the duration of the dog/s stay and food and water bowls, bedding, lead/s toys etc. that will help the dog/s to settle into the new environment. If insufficient food is supplied the owner is responsible for reimbursing the carer for costs incurred in the purchase of more food and a £20 fee will be charged on top for time and travel costs.
4.14. If the carer has a resident cat then both the owner and carer must be in mutual agreement that the dog is suitable to be boarded in the house with a cat. The owner gives permission for their dog/s to be boarded with a resident cat.
4.15. All equipment is provided by the owner, and it is their responsibility to ensure that it is of suitable quality and fit for purpose.
4.16. The owner agrees if after 7 days of the booked return date the owner has not collected the dog/s and Trusted Pet Carers had made every attempt to contact the owner of Emergency Contact without success then the dog/s would be put up for rehoming
4.17. If the owner collects the dog/s before the confirmed end date of the board they will not be entitled to a refund.
4.18. Where possible walks are carried out in open spaces, woods, fields and parkland where dogs can be safely walked off the lead.
4.19. We walk a maximum of 4 dogs per walker to ensure a safe and enjoyable walk for all dogs in our care and ensure we walk temperamentally as well as geographically suitable dogs together. The size of group will alter according to local permissions and circumstances.
4.20. Unless there are exceptional circumstances walks are at least 20, 35 minutes in length not including arrival/pick up and drop off/departure.
4.21. In extreme weather conditions (e.g. very hot weather or heavy snow) walks may be shorter to ensure the comfort of the dogs. This will be at the dog walker’s discretion.
4.22. All dogs being exercised must be fully vaccinated (including kennel cough) and be on regular flea and worm control treatment.
4.23. Clients must inform TPC if their dog contracts any infectious condition (e.g. Kennel cough, conjunctivitis). Any dog with an infectious condition will not be walked until cleared to do so by a vet.
4.24. Towels should be provided if you wish your dog to be wiped down following the walk especially in adverse weather.
4.25. Though we endeavour to ensure the safety of all dogs, letting dogs walk off the lead carries a risk therefore we will only do this with your express permission.
5. Cat safety, security and health
5.1. We do recognise that cats are independent creatures and as such often are left to come in and out freely. Unfortunately, accidents do happen and as such we cannot be held responsible for the safety of any cat that is allowed to come in and out.
5.2. If cats need to be brought in, i.e. do not have a cat flap but are let out anyway, we will do our very best to call and ensure we’ve seen them, and will wait a reasonable amount of time, carry out duties and if the cat hasn’t turned up we will have to leave. We will endeavour to ensure the cat is in but we cannot guarantee it.
5.3. It is a condition precedent to liability that the property owner has arranged with their household insurer to extend their policy to cover losses incurred whilst there is a pet sitter present and or a pet walker has access.
5.4. It is a condition precedent to liability that all locks, security and protective measures are put in operation whenever the property is left unattended or overnight, whether or not a pet sitter is present.
5.5. Clients must provide two spare set of keys, one for head office as back up and one for the sitter. These may be left at the property for the sitter to pick up on the first visit. This second set of keys will be stored securely at our head office and only used in case of emergencies when your normal sitter cannot attend, so that another selected carer can still access the property to carry out the required pet care duties. If this is not possible, then the details of a local key-holder who will be available during the period of care must be provided. If you cannot provide a second set of keys or back-up key-holder then a second set of keys will be cut by your sitter at a charge of £15 plus the cost of cutting.
6. Insurance:
6.1. All sitters, walkers and vehicles are insured for the safe care and transport of your animal. Animals are fully insured to travel in any vehicle driven by your pet carer. Unless you state otherwise, these terms and conditions assume that you, the client, have given permission for this.
6.2. TPC and its members have comprehensive insurance covering public liability, vet fees and loss or straying, however we advise all clients to have their pets insured and reserve the right to refuse a booking for any animal who is not insured.
6.3. If your sitter has their own pet care insurance, rather than through TPC, any claim made will go via their own insurance. It is taken as a given that by using TPC you are happy to abide by these conditions and that any sitter provided to you will be providing you directly with services and will be covered by their own insurance policy. Where a carer states to TPC they don’t have their own pet care insurance policy, you will then be covered by TPC pet care insurance policy which includes:
6.3.1. Public Liability which will cover:
6.3.2. Injury and damage to third parties and their properties up to a maximum of £5 million Limit of Indemnity.
6.3.3. Vets fees in respect to injury to animals in our custody and control, subject to a limit of £1,500 and an excess of £50. This does not cover pre-existing conditions or care that would have occurred whether or not the animal is under the care of the company/carer.
6.3.4. Cover for the loss or straying of animals in our custody and that of our carers and control up to a maximum of £1,500 per animal. This includes cover during collection and delivery.
6.3.5. It is a condition precedent to liability that all locks, security and protective measures are put in operation whenever the property is left unattended or overnight, whether or not the pet sitter is present.
7. Keys
7.1. Two (2) sets of keys must be provided. For dog services – keys retained by your walker will be kept securely and will only be marked with the name of your dog and an office code.
8. Parking Permits
8.1. Permits for any service where the sitter is at your home for a significant period must be provided if you are in a restricted parking zone. Any pet sitting, puppy care, cat care etc requires this. Group dog walking does not require this.
9. Bookings
9.1. All service users can make booking requests by using the online booking area on www.trustedpetcarers.com and individual log-in access to our client portal will be provided.

10. Pricing
10.1. Please see website for up to date pricing for individual services. Prices may change at any time.
11. Payment
11.1. Payment schedules vary for each service. Please refer to the policies & terms of that service. If you do not make any payment to us, or if we are unable to collect a payment from you by the due date, we may charge you interest on the overdue amount @ 3% above the standard Bank of England rate.
11.2. You can use the following methods: debit/ credit card, online transfer or direct debit. Direct debit payments that bounce will incur a charge of £14.50 for each time they are re-presented.
12. Cancellation and Deposit Policy
12.1. Cancellation periods vary depending on service. Please see specific details for each individual service but the following general conditions apply below in our Dog Home Boarding & Dog Day Care Policies & Procedures
13. Communication Policy
13.1. Urgent communications will be made by text or email or WhatsApp as required and necessary. 14. Attention is drawn to The Dangerous Dog Act and all updates including
14.1. https://www.gov.uk/control-dog-public It is a criminal offence (for the owner and/or the person in charge of the dog) to allow a dog to be dangerously out of control anywhere, such as in a public place, in a private place, e.g. a neighbour’s house or garden, in the owner’s or carers home. The law applies to all dogs. A ‘dangerously out of control’ dog can be defined as a dog that has injured someone or a dog that a person has grounds for reasonable apprehension that it may do so. Something as simple as a dog chasing, barking at or jumping up at a person or child could lead to a complaint, so ensure that your dog or guest dog is under control at all times.
1. Booking
1.1. All services are charged by STANDARD CALENDAR DAY and not by 24 hour periods. This means that you have your Trusted Pet Carer available all day on the day that you wish to leave your dog and on the day you wish to collect your dog (unsociable early and late times must be arranged with adequate notice prior to arrival with the carer). It gives you complete flexibility.
1.2. Bank Holidays, Christmas, New Year and Easter may incur additional fees which you will be advised of at the time of booking. Separate cancellation terms also apply for these periods.
1.3. FOR ALL NEW CLIENTS, a 'Meet & Greet' consultation is required, prior to any reservation being made. If you wish to board your dog for more than 3 consecutive nights, a trial day/stay must also be arranged with the carer.
1.4. We may not accept males that have not been neutered.
1.5. Bitches in Heat (Season) We do not take bitches in season or likely to come into season for dates booked with us. We may require any Bitch that's comes into heat while staying with us to be collected by its owner or emergency contact within 4 hours of being notified by our Trusted Pet Carers. Outstanding boarding fees for the outstanding booking period paid for of a Bitch that is collected after coming into heat is 100% non-refundable. Where a Bitch that comes into heat while staying with our Trusted Pet Carer for Dog Home Boarding and can not be collected, a 50% surcharge will be added to the standard day rate, from the day she comes into heat to cover the additional day to day operational and logistical animal welfare man management of the animal and must be paid in full before the dog is collected from the Trusted Pet Carer.
1.6. All dogs booked for Doggy Day Care or Dog Home Boarding must be fully house trained
1.7. All dogs must be dog friendly and not aggressive to other dogs.
1.8. We can not accept dogs that are known escapees /i.e. will try to regularly escape their enclosures.
2. Cancellations
Why do we have cancellation fees? Whilst we fully appreciate that no-one likes to pay for a service that they want to cancel, we also need to consider your Trusted Pet Carer, who has set aside their personal time and home to care for your dog (s) and pets. Most of our pet owners book their Trusted Pet Carer between 4 -9 months in advance to secure their booking dates. This is so that they can plan and book their work or holiday well in advance and go away with total peace of mind, knowing that their four-legged best friend (s) are taken care of by their chosen Trusted Pet Carer. This, in turn, means that our Trusted Pet Carer makes a personal commitment to remain available for the chosen dates. Due to the shortage of Licensed Carers and increase in dog ownership, Trusted Pet Carers generally get far more dog home boarding, dog walking and pop-in pet visit enquires than they can accommodate and probably have turned away many other bookings, covering some or all of the dates you have booked. With short (1 week to 13 week) cancelations, the Trusted Pet Carer will probably not be able to replace your booking with new bookings as it is highly unlikely even with last minute requests, that they will have the exact same dates you have cancelled. So in practice carers will not find a replacement booking for your dates and therefore suffer a loss of revenue which, many rely on to supplement their family income. We feel this is a fair policy for all parties. Please be aware that in most cases we cannot move booking dates either for the same reasons above.
2. Cancellations
In the event of a booking cancellation, or request to move an existing booking to new dates the original bookings "non-refundable deposit" are not repayable and can not be transferred to a new booking or against another existing booking for the reasons stated above.
2.1 In the event of Overnight “Dog Home Boarding” cancellations:
-Cancel up to 13 weeks in advance - Pay 33% of the total outstanding balance
-Cancel up to 10 weeks in advance - Pay 50% of the total outstanding balance
-Cancel up to 8 weeks in advance - Pay 75% of the total outstanding balance
-Cancel less than 6 weeks in advance - Pay 100% of the total outstanding balance
2.2 In the event of “Doggy Day Care” or "Dog Walking" booking cancellations for Ad hoc days, paid at time of booking:
-Cancel less than 35 days (5 weeks) in advance - Pay 33% of total cost
-Cancel less than 28 days (4 weeks) in advance - Pay 50% of total cost
-Cancel less than 21 days (3 weeks) in advance - Pay 75% of total cost
-Cancel less than 2 weeks (14 days) in advance - Pay 100% of total cost
2.3 In the event of regular “Doggy Day Care” or "Dog Walking" bookings for pre-booked days, payable monthly in advance:
-Cancel up to 13 weeks in advance - Pay 33% of the total outstanding balance
-Cancel up to 8 weeks in advance - Pay 50% of the total outstanding balance
-Cancel up to 6 weeks in advance - Pay 75% of the total outstanding balance
-Cancel less than 28 days (4 weeks) Pay in advance 100% of the total cost / balance
2.4 In the event of “Dog Walking & Pop-in Pet” visit booking cancellations:
-Cancel less than 35 days (5 weeks) in advance - Pay 33% of total cost
-Cancel less than 28 days (4 weeks) in advance - Pay 50% of total cost
-Cancel less than 21 days (3 weeks) in advance - Pay 75% of total cost
-Cancel less than 2 weeks (14 days) in advance - Pay 100% of total cost
2.5. In the event of a Dog Coming into Heat:
Why do we charge fees when my dog can not attend boarding when on heat?
Bitches that come into heat (season), are not allowed to board for Doggy Day Care or Dog Home Boarding as it may create an unacceptable range of stressful and physical animal welfare issues for the bitch in season and other dogs that are boarding at the same time. In addition because your dog is boarding in a TPC's family home, (not a kennel) it may result in unsafe logistical animal management of the boarding animals.
2.6. If the pet service provider, cannot provide the service agreed, we will do our best to arrange an alternative, unless in extreme circumstances, where we will endeavour to give 24 hours notice.
2.7. Fees are payable during periods of absence including bitches in heat, sickness and on occasions, where pet owners can not travel to their Trusted Pet Cares due to circumstances beyond their control for example severe adverse weather conditions, car breakdown etc.
2.8 Home Dog Boarding Booking Cancellation Insurance Cover
The Home Dog Boarding Booking Cancellation Insurance covers up to 70% of your outstanding TPC booking fee, excluding insurance premium and the 30% non-refundable deposit, should you need to cancel your booking within our cancellation notice periods above
3. Aggressive Animals
3.1. The pet service provider will not accept aggressive animals.
3.2. The client agrees to be responsible for all costs (including but not limited to medical care, legal fees, etc) if the client’s pet(s) should bite another animal.
3.3. Client agrees that on booking services for their dog(s) that they have represented that the dog(s) to have not shown aggression or caused harm, or threatening behaviour to any individual and/or any pet(s), and the client agrees to contact the provider as soon as possible if any of these behavioural changes presents itself or if it has the potential to cause harm to any individual or pet(s).
3.4. We will not board unruly or untrained dogs.
3.5. If the client’s dog(s) whilst being boarded shows aggressive tendencies towards the pet service provider or their family, or should its behaviour become unacceptable or a nuisance beyond reasonable acceptance, the client agrees that he/she be placed either with the emergency contact or in a boarding kennel, until the client returns, and this will be subject to a transfer charge.
4. Unforeseen Purchases
4.1. In the event that additional items need to be purchased in the absence of the client – i.e. pet food, litter or other necessary items that contribute to the health and wellbeing of your pet, the pet service provider will purchase these, retain a receipt and the pet owner is responsible for reimbursement of these items on their return.
5. Updates
5.1. Please inform us of any changes regarding your contact numbers, your pet’s care needs, your emergency contact details and other pertinent information.
6. Privacy Policy
6.1. All of your information will be kept private and confidential.
6.2. Your pet service provider highly respects our clients’ entrusting us with the care of their pets.
6.3. All of our records will be stored in compliance with the Data Protection Act 1998.
7. Insurance
7.1. All reasonable care is taken to ensure the integrity and suitability of the care provided.
7.2. The pet service provider has valid public liability insurance, for the peace of mind of its clients.
7.3. The insurance only covers the sitter when working for the pet service provider, for the duration of the selected service, and only for services arranged with the pet service provider.
7.4. We recommend that you purchase your own separate pet insurance.
8. Medication/Vaccinations/Immunisations
8.1. The pet service provider will follow instructions to administer medications as directed but cannot be held responsible for complications that arise as a result.
8.2. Under no circumstances will the pet service provider board any pet that has any form of active contagious illness.
8.3. We require a copy of a valid vaccination certificate.
8.4. If the pet service provider is bitten or exposed to any disease or ailment received from the clients pet(s) which has not been properly or currently vaccinated, the client will be responsible for all costs and damages that may be incurred as a result.
8.5. The pet service provider requires dogs to be on a flea and worm treatment plan.
8.6. The pet service provider does not insist on the Kennel Cough vaccination. However, if the vaccination/booster is given, we require 4 full weeks before the pet can be allowed back on the premises. We reserve the right to refuse a dog entry if verification of the date of vaccination/booster cannot be provided.
9. Condition of Dog on Delivery:
9.1 You undertake to deliver your dog to the carer or the pet taxi service in a clean, groomed condition and up-to-date with vaccinations, worming and de-flea treatments. Any dog requiring regular grooming should also be provided with appropriate grooming equipment.
9.2 Unspayed Bitches:
We reserve the right at any time to withdraw from a booking for an unspayed bitch. If there is a risk of your dog coming into season during her board you must advise us of this (see material disclosure clause above) and, if appropriate, you agree to seek the advice of your veterinary surgeon as to measures which may be taken be taken to prevent an unspayed bitch coming into season during her board. We reserve the right to seek written confirmation from your veterinary surgeon that this has been done.
9.3 Unneutered Dogs:
We reserve the right at any time to withdraw from a booking for an Unneutered dog. We reserve the right to seek written confirmation from your veterinary surgeon that your dog has been neutered.
10, Material Disclosure:
You undertake to make full and complete disclosure in the Booking Form of any matter, fact, quality or characteristic which might render your dog unsuitable for home boarding including, but not limited to, behavioural or health problems, anti-social behaviour including aggression, separation anxiety, unspayed bitches in season, excessive pulling on the lead, tendency to run away or escape on walks or in the home, incontinence/ lack of house training, destructive behaviour inside our outside the home, or excessive loud barking/ whining etc. Regrettably, we may not be able to accept young puppies or elderly dogs which are infirm. We will only do so at the discretion of the company. Failure on your part to disclose in the Booking Form any matter, which in our view might render your dog unsuitable for home boarding will be deemed a material omission amounting to a fundamental breach of this agreement, entitling us to terminate the agreement forthwith. In such an eventuality, we reserve the right to transfer your dog to kennels at your expense and the fee to TPC Ltd will be payable in full.
11. Collars/Leads
11.1. Please provide secure collars with appropriate tags for all visits. We recommend extendable leads are not used due to health and safety.
12. Changes to return date
12.1. The pet service provider carefully schedules our time to serve you and our other clients, therefore, there are no refunds or credits for early returns or last minute changes to pet care.
12.2. In the event that the client is delayed on return, they must inform the pet service provider immediately, and the pet service provider will use its best endeavours to make alternative arrangements for continued cover, even when the original sitter is unable to continue with care following the assignment end date.
13. Payment
131.1. The pet service provider accepts cash/bank transfer.
13.2. Daycare bookings are paid in full, in advance at the point of booking the pet’s place.
13.3. Dog Boarding bookings are subject to a 50% deposit payable at the time of booking. The remaining balance is due 48hrs before the first date (arrival day) of the assigned booking.
13.4. Where services are required long term, the client may make payment on a monthly basis.
13.5. Where payment is not received in accordance with these terms and conditions of business, the company reserves the right not to proceed with any previously agreed arrangements, and a cancellation fee will be payable.
14. Liability
14.1. The pet service provider shall not be liable to the client or be deemed to be in breach of the contract by reason of any delay in performing, or any failure to perform, any of its obligations in relation to the services, if the delay or failure was due to any cause beyond the pet service provider’s reasonable control.
Using TPC services constitutes acceptance of these terms and conditions. These terms and conditions may change at any point and we will ensure the latest version is available on our website. Please do not hesitate to contact us for an up to date copy of them also. We do everything we can to provide a professional, caring service. If you have any feedback that would help us improve our service, please let us know. Your digital acceptance of these terms via the on-line booking platform will be kept on file for documentary purposes.
Reasonableness:
You agree that these terms of use are fair and reasonable in enabling us (a) to perform our obligations under this agreement to the best of our ability and (b) to protect our legitimate business interests.
Governing Law & Jurisdiction:
This agreement shall be governed and construed in accordance with English law and the parties submit to the exclusive jurisdiction of the courts of England and Wales.

Carers travel cost to your home and back to their home again will be charged at £0.55 pence per mile if using their own car, based on Google maps, or if using public transport at cost value and a copy of the receipt will be provided.
Vet visit £20 per hour + travel charges @ £0.55 pence per mile where a carer uses their own car
General
1. The commissioning of the Company by the Client to carry out Pet Sitting, house sitting, Home Boarding or Pet Visiting assignments, whether verbally or in writing constitutes acceptance of these Terms of Business. Clients will be deemed to have accepted TPC terms and conditions for each service and the general terms and conditions on booking of services.
Policy & Procedures Agreement
The Company agrees to supply Pet Sitting, House sitting or Home Boarding or Pet Visiting services in accordance with a brief provided by the Client. Which will primarily include the care of pets and other animals owned by the Client. In consultation with the pet sitter the client may request other services such as the maintenance of house, greenhouse, garden plants and lawns. All within reasonable limits which will be charged per service if the pet sitter agrees.
The Company will continue to provide these services throughout the duration of the Agreement even though the original sitter may fall ill or be unable to continue on assignment for whatever reason.
Payment
The Client agrees to settle the Company’s invoice for such services two weeks prior to the commencement of the assignment. Unless the assignment was booked at short notice; in such cases, the Client agrees to settle the Company’s invoice before the assignment commences.
In respect to long-term or on-going assignments, invoicing of fees can be set up on a monthly basis, payable in advance.
If payment is not received in accordance with these Terms of Business, the Company will not be obliged to honour any previously agreed arrangements.
The Client is responsible for ensuring that neither the house and its environment, nor the work expected of the sitter, present any avoidable or unusual risks recognised by the Health and Safety Executive.
Rules of Employment
All pet sitters are insured to carry out their duties only through the company and all instructions to them must come from or with the approval of the Company Management Personnel.
Sitters may not work for a Client, except through the Company. Infringement of this condition will jeopardise their role as a pet sitter for the Company and our insurance cover
Cancellation and/or early return
There is a set scale of charges, which applies in the event of cancellation. Payment for the booking is due in advance either by cheque or debit / credit card to head office unless otherwise agreed. For cancellation, you must give notice in writing or email to our Head Office enclosing any payment due. For the avoidance of doubt, purported cancellation by telephone or text is not valid notice for the purposes of this clause.
We understand last minute emergencies happen, and if this is your case and need to book or cancel in an emergency, please contact us directly by phone and you must also always send confirmation of cancellation by email.
Why do we have cancellation fees? Whilst we fully appreciate that no-one likes to pay for a service that they want to cancel, we also need to consider your Trusted Pet Carer, who has set aside their personal time and home to care for your dog (s) and pets. Most of our pet owners book their Trusted Pet Carer between 4 -9 months in advance to secure their booking dates. This is so that they can plan and book their work or holiday well in advance and go away with total peace of mind, knowing that their four-legged best friend (s) are taken care of by their chosen Trusted Pet Carer. This, in turn, means that our Trusted Pet Carer makes a personal commitment to remain available for the chosen dates. Due to the shortage of Licensed Carers and increase in dog ownership, Trusted Pet Carers generally get far more dog home boarding, dog walking and pop-in pet visit enquires than they can accommodate and probably have turned away many other bookings, covering some or all of the dates you have booked. With short (1 week to 13 week) cancelations, the Trusted Pet Carer will probably not be able to replace your booking with new bookings as it is highly unlikely even with last minute requests, that they will have the exact same dates you have cancelled. So in practice carers will not find a replacement booking for your dates and therefore suffer a loss of revenue which, many rely on to supplement their family income. We feel this is a fair policy for all parties. Please be aware that in most cases we cannot move booking dates either for the same reasons above.
In the event of cancellations:
-Cancel up to 13 weeks in advance - Pay 33% of the total outstanding balance
-Cancel up to 10 weeks in advance - Pay 50% of the total outstanding balance
-Cancel up to 8 weeks in advance - Pay 75% of the total outstanding balance
-Cancel less than 6 weeks in advance - Pay 100% of the total outstanding balance
Refunds of any amount cannot be considered for a Client’s early return. To ensure confirmation of bookings falling within peak season (Easter half term and Bank Holiday, July, August and Christmas season from 15th December and 7th January) payment must be settled 30 days in advance.
Insurance
Every reasonable measure is taken to ensure the integrity, probity, suitability and competence of the sitters. Appropriate vetting and police checks are carried out and the Company covers its Employees with Public Liability Insurance.
The Company’s insurance cover only operates when the sitter is working on an assignment from the Company and for the duration and times of the selected service.
Where sitters are required to drive a Clients car, responsibility for the provision of appropriate insurance cover rests with the Client.
It is agreed that it is the Clients responsibility to adequately insure the property and its contents and any pets with an insurance company of good repute, and that such insurance shall continue for the duration of this agreement. You must ensure that your household insurer has extended their policy to cover losses incurred whilst there is a house-sitter present. Please note that TPC Ltd will accept no liability for any damage caused by your house or pets.
All locks, security and protective measures are put in operation whenever the property is left unattended or overnight.
Miscellaneous
Where exceptional work or non-standard skills and experience are involved e.g. the care of horses, farm animals, aviaries, large gardens, green houses, indoor plant collections, and swimming pools etc., charges will be made according to the level of skill required.
Approximate guides will be provided by telephone and detailed quotations. All extra work must be approved by the pet sitter.
No payments are made directly to the pet sitter.
In place of leaving supplies of food for the sitter, an impractical option, a daily subsistence allowance is paid directly to the sitter from your payment to TPC.
A reservation, whether written or verbal, constitutes a binding agreement, and as such, all cancellations incur a £75 fee. This fee will be fully refunded on any future booking. This fee covers all administration costs.
A sitter may wish to have the companionship of their partner / spouse during an assignment. This incurs the Client no additional expense. The companion / spouse will have passed the Company’s vetting programme and is also fully covered by the Company’s insurance.

The law applies to all dogs. A ‘dangerously out of control’ dog can be defined as a dog that has injured someone or a dog that a person has grounds for reasonable apprehension that it may do so. Something as simple as a dog chasing, barking at or jumping up at a person or child could lead to a complaint, so ensure that your guest dog is under control at all times.

General
1. TPC will not confirm any booking until there has been a consultation with the owner who must disclose any behavioural or medical condition that may make their dog unsuitable for group walks. This would include antisocial behaviour, aggression, possessive behaviour, lack of training and conditions such as incontinence, chronic vomiting or travel/ mobility problems.
2. TPC must be informed if your dog does or has EVER used a muzzle and this should be made available for use at our discretion
3. TPC reserve the right to refuse or discontinue walks for any dog deemed to be unsuitable for group walks
4. The client must provide TPC with a name and contact telephone number of someone capable of making a decision relating to their dog in an emergency. A nominated vet’s details will also be recorded and they will be contacted if we are unable to communicate with the owner or their representative.
5. Where possible walks are carried out in forest and parkland where dogs can be safely walked off the lead.
6. We walk a maximum of 4 dogs per walker to ensure a safe and enjoyable walk for all dogs in our care and ensure we walk temperamentally as well as geographically suitable dogs together.
7. Unless there are exceptional circumstances walks are at least 30, 45 or 60 minutes in length, and time starts from time of arrival (pick up) and time of drop off/departure
8. In extreme weather (e.g. very hot weather or heavy snow) walks may be shorter to ensure the comfort of the dogs. This will be at the dog walkers discretion.
9. All dogs being exercised must be fully vaccinated (including kennel cough) and be on regular flea and worm control treatment.
10. Clients must inform TPC if their dog contracts any infectious condition (e.g. Kennel cough, conjunctivitis). Any dog with an infectious condition will not be walked until cleared to do so by a vet.
11. Towels should be provided if you wish your dog to be wiped down following the walk especially in adverse weather.
12. Though we endeavour to ensure the safety of all dogs, letting dogs walk off the lead carries a risk therefore we will only do this with your express permission.
Reservation and Cancellation Charges & Procedures
Reservations
Although we will always do our best to accommodate everyone’s needs, if you’re not a full-time client who requires 3-5 days of dog walking a week, we recommend scheduling your walks at least 1 week in advance in accordance with business hours. Walks or visits scheduled less than 72 hrs cannot be guaranteed. Advanced notice will help to ensure your requested walk (s) get scheduled in the event your usual dog walker is unavailable or overbooked.
Cancellations
When cancelling a Monday walk, kindly submit cancellation by the Friday before the scheduled Monday. Please understand that we have scheduled dog walker time for your pet(s) and may have had to turn others down. We understand last minute emergencies happen, and if this is your case and need to book or cancel in an emergency, please contact us directly by phone and you must also send confirmation by email.
This Cancellation policy is also put in place to protect our Dog Walkers. Regardless of what the circumstances may be, our dog walkers have set this specific time aside for you and come prepared to travel through any weather, and we feel their time should be respected. They may have also turned down other bookings to accommodate your booking, and due to the shortness of time can not rely on finding another booking to replace your booking.
There is a set scale of charges, which applies in the event of cancellation. Payment for the booking is due in advance either by cheque or debit / credit card to head office unless otherwise agreed. For cancellation, you must give notice in writing or email to our Head Office enclosing any payment due. For the avoidance of doubt, purported cancellation by telephone or text is not valid notice for the purposes of this clause.
Cancellation timelines
In the event of regular “Doggy Day Care” or "Dog Walking" bookings for pre-booked days, payable monthly in advance:
-Cancel up to 13 weeks in advance - Pay 33% of the total outstanding balance
-Cancel up to 8 weeks in advance - Pay 50% of the total outstanding balance
-Cancel up to 6 weeks in advance - Pay 75% of the total outstanding balance
-Cancel less than 28 days (4 weeks) Pay in advance 100% of the total cost / balance
In the event of “Dog Walking & Pop-in Pet” visit booking cancellations:
-Cancel less than 35 days (5 weeks) in advance - Pay 33% of total cost
-Cancel less than 28 days (4 weeks) in advance - Pay 50% of total cost
-Cancel less than 21 days (3 weeks) in advance - Pay 75% of total cost
-Cancel less than 2 weeks (14 days) in advance - Pay 100% of total cost
Insurance
All carers and vehicles are insured for the safe care and transport of your animal. Animals are fully insured to travel in any vehicle driven by your pet carer. Unless you state otherwise, these terms and conditions assume that you, the client, have given permission for this.
TPC has comprehensive insurance covering public liability, vet fees and loss or straying, however we advise all clients to have their pets insured and reserve the right to refuse a booking for any animal who is not insured.
Our insurance covers us for:
· Public Liability which will cover injury and damage to third parties and their properties up to a limit of £5 million Limit of Indemnity.
· Vets fees in respect to injury to animals in our custody and control, subject to a limit of £10,000 and an excess of £50. This does not cover pre-existing conditions or care that would have occurred whether or not the animal is under the care of TPC
· Cover for the loss or straying of animals in our custody and control up to a maximum of £1,000 per animal. This includes cover during collection and delivery.
· It is a condition precedent to liability that all locks, security and protective measures are put in operation whenever the property is left unattended or overnight, whether or not the pet sitter is present.
Payment
You will be invoiced in advance of each booking.
You can use the following methods: debit/ credit card, online transfer or direct debit.

Direct debit payments that bounce will incur a charge of £14.50 for each time they are re-presented. For full details of our direct debit policy please contact the office.
Payments should be paid within 7 days of receipt of invoice. After this interest may be added
Keys & Parking
Keys retained by your walker will be kept securely only be marked with the name of your dog and any internal office code.
Permits may need to be provided for your walker if you are in a restricted parking zone. This will be assessed as necessary. Alternatively, carers will try to find parking close by which, if is a chargeable parking space what ever cost have been incurred will be added to your invoice for payment. If they can’t find a suitable legal parking bay close by, then they may have to park illegally and could receive a parking fine, which would also be at your cost and added to your invoice for payment.
We require two sets of keys and/or fobs
· £15 charge required to cover pick-up off keys if these are not provided during the complimentary Meet & Greet
· £15 deposit required to cover key drop-off upon cancellation of the service if not informed before their last visit, plus travelling cost at £0.55 per mile
Entire Agreement:
These terms of use together with the general terms and conditions along with the Booking Form will constitute the entire agreement between you and us to the exclusion of any other terms whatsoever, including any terms or conditions you purport apply under any other written or oral communication with us. At our discretion, we may agree to a waiver or variation of these terms provided that it is agreed in advance and is in writing signed by the director of the company.
Bookings Policy:
All bookings must be made through TPC. Our carers do not always have the most up to date information about bookings provisionally scheduled for them. If you procure, or attempt to procure, the services of one of our approved carers direct, whether on your own behalf or on behalf of a third party, you will not be insured by TPC for any pet liabilities that may be incurred while under the care of the carer and you may become liable for any vet bills and law suites that arise if your pet causes any accidents, attacks any animals or bites anyone while in their care.
You will become liable to pay TPC an pet carer introduction fee of £750 if you book direct with an approved TPC carer that we have introduced you to beforehand within the last 24 months of your last recorded booking or enquiry even if it was only provisional booked and then cancelled
Reasonableness:
You agree that these terms of use are fair and reasonable in enabling us (a) to perform our obligations under this agreement to the best of our ability and (b) to protect our legitimate business interests.
Governing Law & Jurisdiction:
This agreement shall be governed and construed in accordance with English law and the parties submit to the exclusive jurisdiction of the courts of England and Wales.

Pet Taxi £20 Vet visit for first hour then £6 for every subsequent 15 minutes, plus 0.55 pence per mile, based on Google map mileage. All Vet visits will have a detailed report for your peace of mind. Time is charged from initial arrival/ collection (Pick up) to the departure of your home after drop off.
Animal care charges
Additional services
Price includes: feeding, litter changing, cuddles and strokes and TLC, playtime, basic grooming (brush) If you have the suitable equipment. If you provide an automatic feeder we are happy to set this for a later feed.
Pet food
Food, litter and any other requirements are to be provided by the owners. Additional food etc will be purchased if you run out. There will be a £20 charge on top of the cost of the provisions for the carers time to purchase/organise buying the food

We do recognise that cats are independent creatures and as such often are left to come in and out freely. Unfortunately, accidents do happen and as such we cannot be held responsible for the safety of any cat that is allowed to come in and out.
If cats need to be brought in, i.e. do not have a cat flap but are let out anyway, we will do our very best to call and ensure we’ve seen them, and will wait a reasonable amount of time, carry out duties and if the cat hasn’t turned up we will have to leave. We will endeavor to ensure the cat is in but we cannot guarantee it.
Insurance

After initial meeting you may chose for the company or your sitter to retain the keys for future visits. All keys are marked with only the name of the animal and a code and no address details. Should you wish to have the keys returned after the first assignment this will be free of charge. However, should you wish the key to be picked up or dropped off for any subsequent sitting assignment, then a fee of £20 will be charged, plus travelling cost at £0.55 pence per mile
Clients often find it useful for us to hold a spare set of keys in case they get locked out!

Parking

Entire Agreement:
These terms of use together with the general terms and conditions along with the Booking Form will constitute the entire agreement between you and us to the exclusion of any other terms whatsoever, including any terms or conditions you purport apply under any other written or oral communication with us. At our discretion, we may agree to a waiver or variation of these terms provided that it is agreed in advance and is in writing signed by the director of the company.
Bookings Policy:
All bookings must be made through TPC. Our carers do not always have the most up to date information about bookings provisionally scheduled for them. If you procure, or attempt to procure, the services of one of our approved carers direct, whether on your own behalf or on behalf of a third party, you wlll not be insured by TPC for any pet liabilities that may be incurred while under the care of the carer and you may become liable for any vet bills and law suites that arise if your pet causes any accidents, attacks any animals or bites anyone while in their care.
You will become liable to pay TPC a pet carer introduction fee of £750 if you book direct with an approved TPC carer that we have introduced you to beforehand within the last 24 months of your last recorded booking or enquiry even if it was only provisional booked and then cancelled
Reasonableness:
You agree that these terms of use are fair and reasonable in enabling us (a) to perform our obligations under this agreement to the best of our ability and (b) to protect our legitimate business interests.
Governing Law & Jurisdiction:
This agreement shall be governed and construed in accordance with English law and the parties submit to the exclusive jurisdiction of the courts of England and Wales. Attention is drawn to The Dangerous Dog Act and all updates including
https://www.gov.uk/control-dog-public It is a criminal offence (for the owner and/or the person in charge of the dog) to allow a dog to be dangerously out of control anywhere, such as in a public place, in a private place, e.g. a neighbour’s house or garden, in the owner’s or carers home. The law applies to all dogs. A ‘dangerously out of control’ dog can be defined as a dog that has injured someone or a dog that a person has grounds for reasonable apprehension that it may do so. Something as simple as a dog chasing, barking at or jumping up at a person or child could lead to a complaint, so ensure that your guest dog is under control at all times.

Price includes feeding, litter changing, cuddles and strokes and TLC, playtime, basic grooming (brush) If you have the suitable equipment. If you provide an automatic feeder we are happy to set this for a later feed.
Miscellaneous Service Charges
Additional meetings needed for instructions, meeting our staff/carers or key transfers are £15, plus travelling cost at £0.45 per mile. (after the initial free consultation).
Pet Taxi £20 Vet visit for first hour then £6 for every subsequent 15 minutes, plus 0.45 pence per mile, based on Google map mileage. All Vet visits will have a detailed report for your peace of mind. Time is charged from initial arrival/ collection (Pick up) to the departure of your home after drop off.
Animal care charges
Additional services
Small pet visits cover small animals such as rabbits, gerbils, fish, birds, hamsters, hens, ducks etc.
For multiple pets including small pets and or cats, dogs, puppy’s, where dog walking may also be required please contact us to discuss your specific requirements.
Small pet visits will last a minimum of 20 minutes. During this time carer can do 1 or all of the following:
Pet food
Food, litter and any other requirements are to be provided by the owners. Additional food etc will be purchased if you run out. There will be a £20 charge on top of the cost of the provisions, plus traveling cost of £0.45 pence per mile.
Published fees are subject to change, we reserve the right to change pricing at any time.
General

Vehicles
Animals are fully insured to travel in any vehicle driven by your pet carer. Unless you state otherwise, these terms and conditions assume that you, the client, have given permission for this.
Insurance
It is a condition precedent to liability that the property owner has arranged with their household insurer to extend their policy to cover losses incurred whilst there is a pet sitter present.
It is a condition precedent to liability that all locks, security and protective measures are put in operation whenever the property is left unattended or overnight, whether or not the pet sitter is present.
Clients must provide a spare set of keys to the sitter. These may be left at the property for the sitter to pick up on the first visit. This second set of keys will then be left at the client’s home on the last visit. If this is not possible, then the details of a local key-holder who will be available during the period of care must be provided. If neither of these is possible, then a second set of keys will be cut by your sitter at a charge of £20 plus the cost of cutting. plus travelling cost of £0.45 pence per mile.
Payment is initially in advance on booking. You can use the following methods: bank transfer, debit or credit card. However, regular clients may prefer to set up a direct debit with us and pay in arrears.
Reservation and Cancellation Charges & Procedures
Reservations
Although we will always do our best to accommodate everyone’s needs, if you’re not a full-time client who requires 3-5 days of visits a week, we recommend scheduling your visits at least 1 week in advance in accordance with business hours. Visits scheduled less than 72hrs cannot be guaranteed. Advanced notice will help to ensure your requested walk (s) get scheduled in the event your usual carer is unavailable or overbooked.
Cancellations
When cancelling a Monday walk, kindly submit cancellation by the Friday before the scheduled Monday. Please understand that we have scheduled carer time for your pet(s) and may have had to turn others down. We understand last minute emergencies happen, and if this is your case and need to book or cancel in an emergency, please contact us directly by phone and you must also send confirmation by email.
This Cancellation policy is also put in place to protect our carers. Regardless of what the circumstances may be, our dog walkers have set this specific time aside for you and come prepared to travel through any weather, and we feel their time should be respected.
Cancellation: There is a set scale of charges, which applies in the event of cancellation. Payment for the booking is due in advance either by cheque or debit / credit card to head office unless otherwise agreed. For cancellation, you must give notice via email to our Head Office enclosing any payment due. For the avoidance of doubt, purported cancellation by text or telephone is not valid notice for the purposes of this clause.

-Cancel less than 21 days (3 weeks) in advance - Pay 75% of total cost

Terms of Use:
All bookings, whether confirmed or pending an introductory meeting, are subject to our terms of use. A TPC approved Carer's acceptance of a TPC Booking constitutes acceptance of these terms and continued use of our service will indicate acceptance of the terms in force. As these terms may vary from time to time, you should make sure you are aware of the current version which, is available online at our website or upon request from our Head Office.
Terms of Insurance
TPC Carers are insured through the TPC Limited for caring for owner’s dogs, within their own TPC approved home, and caring for pets while home pet sitting, dog walking and visiting clients own home to care for their pets and chaperoning and transporting dogs to and at wedding venues whilst adhering to all the TPC carers code of practice, terms and conditions. This includes public liability, care custody and control and non-negligent cover. Personal home insurance or pet damage is not included. TPC cannot be held responsible for any injury to the carer or anyone in the home caused by any guest dog or while dog walking or home pet sitting or at clients homes while caring for pets or at wedding venues or transporting clients pets. Any claims are to be made through TPC Limited.
Limitation of Liability and Release
By agreeing to serve as an approved TPC Carer and board dogs in your home overnight or during the day, or at clients homes you expressly assume the risk of any damages, including property damages or personal injury, which you or anyone else present in your residence may suffer. It is the sole responsibility of Carers to make decisions that are in the best interests of themselves and their pets. It is strongly recommended that all carers schedule a pre-visit with all dogs/pets and dog/pet owners before providing dog boarding, day care, home pet sitting, dog walking home pet visits, wedding day dog chaperone to mitigate as many risks as possible.
